PLAYER/PARENT & COACH COMMUNICATION PLAN

The primary means of communication for administrators and coaches will be through TeamSnap and email. Coaches/trainers have a contact list for their team, and they will be responsible for communicating with parents and players. The administrators will also use email to relay important announcements to all club members.

In addition to the e-mail list, we also maintain (and continue to improve) our website https://www.gettysburgyouthsoccer.org/  You can proactively find most of the information here. 

It is imperative that you maintain an accurate record of your availability on TeamSnap.  The coaches use this information to plan practices and games.  In the past we have canceled practices because too few players were marked as attending.  Any additional tournament information will be announced by a team wide e-mail. 

INDIVIDUAL COMMUNICATION (COACHES/PARENTS)

Most Communication is done as explained above in the Communication section, however there are times where player/parent and coach discussions need to occur about a specific player or incident.  If the incident or concern is not an immediate safety concern, the following protocol should be followed:

  1. Player and Parents should wait 24 hours after the incident before reaching out to the paid Coach or Director. 

  2. The parent(s) and player should not interrupt the practice time or before/after a game time. A meeting (phone or in person) will have to be scheduled at both parties’ convenience.

  3. If the matter at hand is not resolved after completing the procedures above, the parent(s) and/or player may request a meeting with the club administrators.

  2. Strengths and weaknesses of your child’s play

INAPPROPRIATE CONCERNS TO DISCUSS (COACHES/PARENTS)

  1. Team strategy

  2. Playing time. *Throughout the season, playing time will be based on attitude, effort, ability to listen and work within a system, and following the coach's directions.  Equal playing time is not guaranteed. 

  3. Other players on the team or in the club.

It can be difficult to accept your player’s not playing as much as you hope (or you feel they should be). The coaches will make judgments based on what they believe to be the best for the team and based on the club philosophy.

CHAIN OF COMMAND

If a concern arises; the chain of command, after the 24-hour cool down period, should be as follows:

  1. The player is to speak with the coach directly and discuss their concern.

  2. The parent(s) and player are to speak with the coach directly and discuss their concern. This discussion, however, should not be held during practice time or before/after a game. A meeting (phone or in person) will have to be scheduled at both parties’ convenience.

  3. If the matter at hand is not resolved after completing the procedures above, the parent(s) and/or player may request a meeting with the administrators.
